What Is a Paper Management System?
A paper management system is simply this — an organized, intentional way you deal with paper in your life. That includes new paper coming in, and papers you want to keep for later.
Systems are designed to simplify your life and give you more control. A paper management system does exactly that. But here's the key: it has to be customized to you and the way you actually live.
One important note — shifting piles from one place to another is not a system. It just moves the clutter.
Two Parts, Working Together
An effective paper management system has two components:
An action system — for new paper that needs your attention.
A reference system — for papers you want to store for future use.
Let's break down each one.
The Action System
When mail comes into your home, where does it go? For most people, it lands on the counter or desk "until they have time to deal with it." Then more paper piles on top. Before long, the important things are buried under everything else.
A proper action system fixes this. We call it your Papers in Progress. It gives you one designated spot for all new paper until you're ready to process it — so nothing gets buried again.
This system is divided into folders by action type — bills to pay, calls to make, errands, filing, and so on. When you have a few minutes, you can go straight to the folder you need and get it done. And because the basket and folders are portable, you can work on them anywhere in the house, then put everything back in its spot when you're done.
The Reference System
Once you've completed an action, ask yourself: Do I actually need to keep this? Not everything needs to be saved—so much information is readily available online. Papers you no longer need can be shredded or recycled.
For papers you do want to keep, they move into your reference system — what most people picture as a filing cabinet. Here's the good news: once you do a big purge of documents you've been holding onto for years (especially anything from before the digital age), most people find their entire reference system fits into a simple two-drawer filing cabinet. Much easier to manage.
